Your CRM owns the contact record. ReBillion's job is to act on those contacts inside an active transaction — without forcing you to migrate. We sync read-write from Follow Up Boss; we read-only from any system that exposes an API.

What we sync

Contact fields: name, role (buyer/seller/agent/lender/title/inspector/HOA/utility/other), primary phone, primary email, address, license number where applicable, consent state for SMS.

Deal associations: every contact's role in every deal the brokerage handles.

What we don't do

We don't replace your lead-management pipeline. We don't run your nurture sequences pre-contract. We don't drive lead-routing. Those are CRM functions; we orchestrate post-contract.

Privacy and access

Contact data is encrypted at rest and in transit. Role-based access controls who in the firm can see what. The records-retention period matches your brokerage's policy and the relevant state minimum (typically 5 to 7 years).

Covering a teammate's file

A coordinator is out and a deal closes this week. Because contacts live on the deal rather than on one person's CRM seat, whoever picks up the file already has every party's name, role, phone, and email — buyer, seller, both agents, lender, title, and inspector — with no scramble to forward a contact sheet or dig through an email thread to find the escrow officer's direct line.

Keeping the CRM as the source of truth

An agent updates a buyer's phone number in Follow Up Boss. The change flows into ReBillion's deal record on the next sync, so the TC emails and texts the right number without anyone re-typing it in two systems. Because the sync is bi-directional on Follow Up Boss, a note the TC adds during the transaction lands back in the CRM too, and the lead record stays current without double-entry.

Onboarding a virtual assistant

When a firm adds a VA, role-based access lets the VA see only the contact fields they need for the deals they support. The brokerage keeps control of who sees what, and the consent state field travels with each contact so outreach stays inside opt-in rules and STOP requests are honored immediately — even when the person sending is new to the team.

Standing up a deal from a new contract

A purchase agreement comes in and the parties are pulled into the deal automatically — each tagged with their role so the TC isn't hand-typing a buyer, seller, lender, and title contact for every file. Custom firm tags carry through, so a brokerage's own labels stay attached to the right people on both sides of the sync.

Does the sync slow down my CRM?

No. Sync is incremental and runs out-of-band.

How are duplicates handled?

We match on email + phone + role first; firm-level dedup rules layer on top.

Can I block certain fields from syncing?

Yes. Per-field allowlist supported.

Is SMS consent tracked?

Yes. The consent state field tracks TCPA opt-in/opt-out per contact and respects STOP messages immediately.

Can two coordinators share the same contact set on a deal?

Yes. Contacts are scoped to the deal, not to a single user. Anyone on the file sees the same buyer, seller, lender, title, and inspector records, so a covering TC has the full party list without a handoff email.

Does syncing a contact change how I'm billed?

No. ReBillion pricing is usage-based by plan ($199 and $499 tiers); there are no per-user or per-contact fees, so syncing your full CRM contact set does not change your bill.
