Every executed contract drops 80 to 120 emails into a single deal thread. Most of them are repeatable: lender status pings, title coordination, utility-transfer reminders, repair-credit confirmations, milestone updates. How the orchestrator works
Intake. A contract lands in ReBillion via email, upload, or MLS push. Our Contract Intelligence extracts the 47 fields* that anchor a deal — parties, dates, addenda chain, contingencies, lender of record, title company, escrow holder.
Per-deal email plan. From the contract, ReBillion builds a per-deal communication plan: who gets pinged, on what cadence, with what artifact attached. Lender status checks at T-21, T-14, T-7, T-3. Title preliminary report follow-up. Utility transfer scheduling. Final walkthrough confirmation. Closing-day logistics.
Voice match. We sample 50–200 of your past outgoing emails to learn your firm's tone. Drafts come out reading like your senior TC wrote them, not like a chatbot.
Approval queue. Every draft hits your queue with the source thread, the relevant contract clause, and the suggested send time. You can edit, approve, batch-approve, or auto-approve a category once you trust it.
Audit trail. Every send is logged with sender, recipient, body, attachment hash, and timestamp — the same audit trail your brokerage compliance officer expects. Brokerage records-retention windows* are in development.
Where we're heading: TCPA, CAN-SPAM, and broker-of-record controls*
Brokerage compliance is not optional — and it is where we are heading. Today you get the template library, tone-matched drafting, and send-window scheduling; we are building three layers of compliance controls on top of them*. (1) TCPA-clean SMS: when a thread escalates to text, prior express written consent will be checked from the contact record before the first SMS goes out. (2) CAN-SPAM headers: every commercial-style email will carry a physical address, an unsubscribe link if applicable, and accurate header info. (3) Records retention: sends will be written to the brokerage records vault with a per-state retention window — typically 5 to 7 years for California, Texas, Florida, and New York. Your broker-of-record will get a single dashboard to query the full sent log.
Why we built this instead of a template library
Templates fail at execution. A library gives the TC a snippet; the TC still has to pick the snippet, paste it, edit the variables, attach the right document, and click send. ReBillion runs the loop. The team that ships 30 deals a month with two TCs ships 60 deals a month with the same two TCs once email orchestration is on — because the TCs stop typing the same 40 emails per deal.

Does ReBillion send emails on my behalf without my approval?
Only categories you opt in to. Default state is: every draft hits an approval queue. You can auto-approve a category once you trust it, like lender status acks.
How does ReBillion match my firm's tone?
We sample 50 to 200 of your past outgoing emails on connection and build a voice profile. The drafts come out reading like your senior TC. You can tune the voice per-user.
What if a recipient replies — does the AI handle the reply?
Yes. Replies route back through Inbox Intelligence, get classified, and trigger the next action in the deal plan. Anything novel hits a human escalation.
Is this compliant with TCPA and CAN-SPAM?
TCPA, CAN-SPAM, and brokerage records-retention controls are planned capabilities currently in development — TCPA consent checks before any SMS escalation, CAN-SPAM headers on commercial emails, and broker-of-record records retention with a per-state window. Until they ship, every send goes through your approval queue, so your existing compliance review stays in the loop.
Does it replace my CRM?
No. ReBillion is the AI control plane that sits across your existing stack — Follow Up Boss and your CRM of record. We orchestrate; the CRM owns the contact record.
How long does it take to roll out?
Most solo TCs are live in 24 hours. Single-office brokerages ship in 5 to 7 days. Multi-office firms with custom requirements typically ship in 3 to 4 weeks.
